The simple version
I take your privacy seriously — and I try to keep things straightforward. I don't sell your data. I don't share it with anyone who doesn't need it. I only ask for the information I need to respond to you, run the website, and provide coaching safely and professionally. The fuller detail is below.
Who I am
I'm Jane Dugdale, a Sustainable Change Coach based in West Yorkshire. For the purposes of UK data protection law (UK GDPR), I am the Data Controller for this website and coaching practice. What this website collects and why
When you visit this website, Squarespace (my hosting provider) automatically collects some basic technical information, including your browser type, device, IP address, and pages visited. This is standard for any website and is used to keep the site running securely.
I also use Squarespace analytics to understand basic site activity — things like which pages are visited most. This data is anonymised and I can't use it to identify you personally.
This website uses Google Fonts to display text. When fonts load, Google may receive your IP address as part of that process.
Cookies
This website uses cookies: small files that help the site work correctly. Necessary cookies are always active. Performance and analytics cookies only activate if you accept them via the cookie banner. The cookie preferences panel may also show advertising cookies; I do not currently use cookies for advertising.
Contact form
When you get in touch via the contact form, I collect your name, email address, phone number, and any information you choose to share. This goes to Squarespace (as my hosting provider) and to me, so I can respond to your enquiry. I won't use your details for anything else without asking you first.
Enquiry data is kept for up to 12 months.
My lawful bases for using your data
I use different lawful bases depending on the situation:
For enquiries and coaching arrangements — contract, or steps taken before entering into a contract. For running the website securely and my practice generally — legitimate interests. For accounting records — legal obligation. For analytics cookies — your consent.
Where coaching involves sensitive personal information, I only use this where necessary to provide coaching safely and professionally, and Ihandle it with additional care.
If we work together
Your confidentiality matters to me — not just as a legal requirement but as a condition of good coaching.
During coaching, you may choose to share information that is sensitive or personal — including things that may fall under special category data under UK GDPR, such as health, mental health, or other sensitive personal information. I only record brief notes where needed for professional, ethical, or insurance purposes, and I handle any sensitive information with extra care.
Sessions are not recorded unless we have agreed that together in advance. Brief notes are kept securely for up to 7 years after our work ends, in line with professional practice and insurance requirements. They are not a full account of what you share, just enough to support safe, ethical and professional practice.
I may also keep limited records for professional development or accreditation, such as dates, session lengths and coaching hours. Where I discuss my work for supervision, mentor coaching or professional development, I do so anonymously and do not share information that could reasonably identify you.
I work within the ethical frameworks of the ICF. The only circumstance in which confidentiality would be broken is if there were a serious safeguarding concern — and this is something we'd discuss at the start of working together.
Financial records
Basic billing information is kept for 7 years as required by UK tax law.
Tools and platforms I use
I use a small number of established services to help run the practice, including Squarespace (website hosting and contact forms), Google Workspace (email), Zoom (video calls), and standard accounting software. These providers only process your data where needed to provide their services. Some may store data outside the UK; where that happens, appropriate safeguards are in place.
Your rights
Under UK GDPR, and depending on the circumstances, you have the right to access, correct, delete, restrict, or object to the use of your personal data. You may also have the right to data portability where this applies.
